1. Tour Cost
Travel costs are subject to constant change due to fluctuations in domestic airfares, accommodation, meals, local transportation, sightseeing entry fees, conservation charges, visa fees, and other associated expenses. For this reason, we do not publish fixed prices on our website, as doing so would require frequent updates.
To receive an accurate cost estimate, please contact us by email with details of your preferred tour. We will provide a customized quotation within 24 hours.
2. Reservations
Reservations may be made via email, fax, phone, or by filling out our online booking form. Once your request is received, we will confirm availability and provide further booking procedures by email.
- A 25% non-refundable deposit of the total tour cost is required at the time of booking.
 - The balance payment must be settled after arrival to your destination(before departure to the trip)
 - For bookings made less than 30 days before departure, full payment is required at once.
 
Note: No refunds will be issued if a client fails to show up for departure or discontinues the trip (voluntarily or involuntarily) once it has commenced.
3. Confirmation
Your tour will be considered confirmed once we receive an advance payment of 50% of the total cost in our company account.
4. Payment Policy
- -> Advance Payment: 50% of the total tour cost at the time of booking.
 - -> Final Payment: To be completed before departure, either at our Kathmandu office or at your nearest travel destination.
 - -> Cancellations: Must be made at least 2 weeks before trip commencement.
 - -> Non-Refundable Deposit: 25% of the total cost.
 - -> Group Leaders: Travel free for groups of 15 or more (excluding flights and government fees).
 - -> Accepted Payment Methods: Cash, Bank Transfer (SWIFT/Wire), or Credit/Debit Card (Visa, MasterCard, Diners Club).
 - -> Credit Card Charges: A 3.5% bank commission fee applies.
 - -> Children Policy: Children below 2 years travel free; all others must pay the full cost.
 
5. Payment Details
We aim to make payment procedures as convenient as possible. Payments can be made via:
- -> Cash
 - -> Bank transfer (SWIFT/Wire)
 - -> Credit/Debit cards (Visa, MasterCard, Diners Club)

6. Cancellation Policy
If you cancel after booking, the following charges will apply:
- -> 25% of tour cost (non-refundable deposit)
 - -> 50% of tour cost if cancelled 30 days before departure
 - -> 75% of tour cost if cancelled 15 days before departure
 - -> No refund for cancellations made within 15 days of departure
 
7. Complimentary Policy
For every group of 15 paying participants, one group leader will receive complimentary services (excluding flights and government fees). Complimentary accommodation will be on a twin-sharing basis (not single occupancy).
8. Group Definition
A group is defined as 5 or more persons traveling together, booked collectively for the same period and itinerary. However, we also provide services for individuals or smaller groups.
9. Passports & Visas
A valid passport and visa (where applicable) are required for all travelers. It is the responsibility of the client to obtain and carry the necessary travel documents.
10. Insurance
Travel insurance is mandatory for all participants. It should cover:
- -> Trip cancellation
 - -> Medical expenses
 - -> Emergency evacuation (including helicopter rescue, if required)
 
We strongly advise arranging travel insurance prior to your arrival in Kathmandu.
11. Accident or Loss
Tirupati Holidays Tours & Travels Pvt. Ltd. is not liable for:
- Loss, damage, delay, or inconvenience caused by third-party operators (hotels, airlines, transport providers).
 - Any direct or consequential loss, unless due to proven negligence of our employees (limited to a refund of tour cost, excluding personal injury or death).
 
12. Extra Costs
Additional expenses arising from unforeseen circumstances beyond our control (e.g., landslides, political unrest, illness, natural disasters) must be borne by the client.
13. Tour Escorts
Multilingual guides and tour escorts are available on all our tour operations.
14. Helicopter Rescue
In case of altitude sickness, accident, or emergency evacuation:
- A helicopter will be chartered from Kathmandu.
 - All related costs (helicopter, medical treatment, porters) must be borne by the client.
 - These expenses may be claimed later through your insurance provider.
 - For security purposes, clients may be asked to sign a blank credit card sales slip before trekking. This will be returned at the end of the trip if no rescue is required.
 
15. Breaking of Tours
If a participant decides to discontinue the trip (due to illness, accident, landslides, or personal reasons), no refunds will be made. Additional expenses during the remaining days must be covered by the client.
16. Responsibility & Liability
- Tirupati Holidays Tours & Travels Pvt. Ltd. acts solely as an agent for hotels, transport companies, and other service providers.
 - We reserve the right to alter or cancel itineraries due to weather, road conditions, political unrest, or any other unavoidable circumstances.
 - Any extra costs arising from such changes will be borne by the client.
 - Decisions made by the tour/trek leader in consultation with staff and participants will be considered final.
